Budget by head

Plan, actual and variance for every line the funder approved.

Tranches on milestones

Know what unlocks the next payment and how close you are.

No missed dates

Reports, UCs and reviews on one calendar, with reminders to owners.

The seed

A grant is a promise with dates, budgets and conditions.

Grant Tracker is one part of a single record. What you enter here is used by the other modules, so nobody types the same thing twice.

Grant records

Funder, amount, period, Schedule VII area, conditions and the signed agreement, in one record linked to the program.

Budget vs actual

Approved budget by head and sub-head, with spend pulled from expenses you log or import from Tally.

Tranches and milestones

Each tranche tied to its condition: a report, a number of beneficiaries reached, or a utilisation certificate.

Deadline reminders

Reporting dates, reviews and UCs sent to the person responsible, two weeks and two days ahead.

Variance flags

Lines that are under or overspent against time elapsed are flagged early, while there is still time to ask for reallocation.

Utilisation certificates

UC drafts built from recorded spend, ready for your CA to verify and sign.

How it works

The life of a grant

  1. 1

    Set up the grant

Enter the sanction, budget heads, tranches and reporting calendar from the agreement.

  2. 2

    Log spend

Record expenses against heads, or import monthly from your accounts.

  3. 3

    Hit milestones

Beneficiary and activity numbers flow in from the register and field data.

  4. 4

    Report and release

Reports and UCs go to the funder; the next tranche is tracked until it lands.

For NGOs

Spend the grant the way it was approved, and prove it.

Funders ask the same questions every quarter: how much is spent, on what, and is it on track. Grant Tracker answers them from the record you already keep, without a separate spreadsheet per grant.

  • Multiple grants funding one program, with costs split correctly
  • Administrative cost caps checked against CSR rules
  • Reallocation requests recorded with funder approval
  • Supporting bills attached to each expense entry

For CSR teams

See every implementation partner's progress without chasing emails.

On the Banyan plan, CSR teams see grants across all their partners: sanctioned, released, utilised and reported. Partners share what they choose, and the numbers come from their live records.

  • Portfolio view across partners, regions and Schedule VII areas
  • Release tranches based on reports actually received
  • Board-ready summary of CSR spend for the annual report
  • Unspent amount tracking for ongoing projects

Questions

About Grant Tracker

Can one program have more than one grant?

Yes. A program can be funded by several grants. Each expense is allocated to a grant and head, so every funder sees only its share.

Does it connect to our accounting software?

You can import expense data from Tally or Excel exports. Your books stay in your accounting software; Grant Tracker shows them against each grant.

Can funders see our grant directly?

Only if you invite them. On the Banyan plan you can share a read-only funder dashboard for a specific grant.

Does it handle government schemes?

Yes. Any funding with a sanction, budget and reporting requirement can be tracked the same way.
